How to share your Hospitable calendar with your cleaner

Hospitable keeps all your bookings in one place. Getting those dates to your cleaner is the harder part. Here's what Hospitable offers cleaners, and a simpler way.

By Michael Frei, Airbnb host for 5 years and founder of SheetDay. Updated .

Quick answer

Hospitable gives cleaners the Tasks App, a web portal they log in to, or a calendar link of their tasks. If your cleaner won't use a login, copy your property's calendar link from Hospitable and paste it into SheetDay. Your cleaner gets one simple page with every checkout, updated every hour.

How Hospitable gives cleaners access

  • Add your cleaner as a Teammate. They see and accept their jobs in the Tasks App, a separate web portal with its own login. Teammates can't log in to Hospitable itself.
  • Each Teammate also gets a calendar link of their tasks. It only updates as often as their calendar app checks it, and Google Calendar checks every 12 to 24 hours.
  • To see your calendar in Hospitable, your cleaner has to be added as a secondary user too, which means another login.

That works for a cleaning company with an office. An independent cleaner who works for several hosts often ends up juggling apps and passwords, and the schedule goes unread.

Step 1: Copy your Hospitable calendar link

  1. 1In Hospitable, go to Properties.
  2. 2Click the property you want to share.
  3. 3Scroll to Export calendar.
  4. 4Click Copy iCal link.

Tip: Use the property's calendar link, not the Teammate task link. The property link has every reservation for that property.

Step 2: Paste the link into SheetDay

SheetDay is the bridge between Hospitable and your cleaner. It reads your calendar link every hour and turns it into one simple page made for cleaning.

  1. 1Start a free trial and click Add property.
  2. 2Paste the link into Booking calendar link. Repeat for each property.
  3. 3Open Cleaner link and tap Send as text message, or copy the link and send it any way you like.

What your cleaner sees

  • One link that opens on any phone. No app, account or password.
  • All bookings in one calendar and one list of cleaning dates.
  • Same-day turnovers are highlighted so nothing gets missed.
  • Reminder emails go out the day before each checkout, to you and, if you like, to your cleaner.
  • Your cleaner can switch the page to Spanish.

My experience

My cleaner won’t download an app or deal with logins. A link they can open from a text message is the only thing that has worked for us.

Guest details stay private

Hospitable's calendar link includes guest names, and phone numbers and emails when available. SheetDay reads only the dates. Guest names, contact details and prices are never stored or shown to your cleaner.
