How to share your Vrbo or Booking.com calendar with your cleaner
Vrbo and Booking.com provide calendar links, but those links are not designed for cleaners to open directly.
On a phone, they may download a file or display unreadable code. To share a useful schedule, first copy the calendar link, then choose how your cleaner will view it.
Step 1: Copy your calendar link
Both platforms provide an export link, often called an iCal link. It is a long web address that usually ends in .ics. Follow the steps below to find it.
Vrbo
- 1Open the Vrbo Owner Dashboard and select the listing.
- 2Choose Calendar from the menu.
- 3Open Settings, then Availability.
- 4Under Calendar sync, select Connect calendars, then Export calendar.
- 5Select Copy URL.
In the Vrbo Owner app, follow the same path from the gear icon. You can also include tentative bookings so pending requests block those dates.
Booking.com
- 1Log in to the Booking.com Extranet and select the property.
- 2Open Calendar & pricing or Rates & availability, then choose Sync calendars.
- 3Select Add calendar connection, then Skip this step.
- 4Name the connection, select Export calendar, and copy the link.
- 5Select Done. The status will change from Activating to Export only.
Skipping the import step is correct because you are creating an export-only connection. If the property has several room types, confirm whether the link covers the entire property or only one room type.
Treat each link like a password: anyone who has it can see your booked dates.
Step 2: Choose how to share the schedule
To use the calendar link you copied, choose either a shared Google Calendar or a cleaner-friendly link. Both update automatically, but they differ in setup and what your cleaner sees.
- Share a Google Calendar. Add the export link to Google Calendar and share that calendar. Your cleaner needs a Google account, and the calendar shows stays rather than a cleaning-focused schedule.
- Share a cleaner-friendly link. Use a tool that turns the export link into a simple page your cleaner can open without an account.
Other ways to share the schedule
Share a screenshot. Take a screenshot of the calendar and text it to your cleaner. This is quick and requires no login, but it becomes outdated when a booking changes or a new reservation arrives.
Give access with a login. Add your cleaner as a co-host or extra user. They receive live updates, but they need their own account and may see guest or reservation details they do not need.
A screenshot can work for occasional or predictable bookings. When dates change often, a live calendar or login-based option reduces the risk of missed cleanings, unnecessary trips, and confusion about same-day turnovers.

- Not really. On a phone it downloads a file or shows plain code. The link has to go into a calendar app or a cleaner link tool, which reads it and shows the dates.
- My place is on Airbnb and Vrbo. Do I send my cleaner two calendars?
- You should not have to. Syncing the two platforms to each other keeps your availability right, but it does not give your cleaner one list. A cleaner page that reads both calendars shows every checkout in one place, in date order.
- How quickly do these calendars update?
- Not instantly. Vrbo syncs imported calendars about every 30 minutes, and says imported events can take up to 20 minutes to show up. Expect a lag of roughly half an hour on any calendar link, whoever is reading it.
